Client portal
Let a client's people follow their projects in Gipo — without a seat and without seeing internal work.
Overview
The client portal is where a client's people follow the projects you run for them. You invite them as contacts of a client. Each project decides whether it shows in the portal and which of its tasks the client sees.
A contact is an ordinary Gipo account, never a member of your organization. Contacts don't take a seat, don't appear in member lists, and never see assignees, hours per task, internal comments, or other clients' projects. The portal is available on every plan.
Inviting contacts
Open a client and go to the Contacts tab (organization owners and admins only). Select Invite contact, enter an email and an optional name, then Send invite.
The person gets an email, sent in your organization's name and logo, with a link that is valid for 7 days. Opening it, they sign in or sign up with that email and land straight in the portal. A forwarded link gives nothing to a different account.
Each contact shows a status and its last access:
| Status | Meaning |
|---|---|
| Invited | The invite is pending. |
| Expired | The link passed its 7 days. Re-send it. |
| Active | The person has portal access. |
| Revoked | Access ended. Revoked: account deleted means the person deleted their account. |
From the ⋯ menu on a contact you can Re-send invite, Revoke access, or Re-invite a revoked contact.
An email that belongs to a member of your organization can't be invited. If a contact later joins your organization as a member, their contact access is revoked automatically. While a client is inactive, its contacts lose access until you reactivate it.
Sharing a project
Open a project and go to its Client portal tab (organization owners and admins, and the project's managers). The project must have a client.
- Show in the client portal — the switch that shares the project. Off by default. Changing the project's client turns it off again.
- Add-ons — Project files (files attached to the project itself, never task files), Hours worked vs. estimate, and Progress display: a Percentage of tasks done, or Activity (open tasks and tasks done in the last 30 days) for ongoing projects.
- New tasks start visible — on by default. Turn it off to keep new tasks hidden until you show them one by one.
- Client update — a short status note shown at the top of the project in the portal. Hidden while empty.
- Tasks in the portal — the list of the project's tasks, where each checkbox is that task's visibility. Filter by name or
#number, and use Show / Hide for every listed task at once.
You can also hide or show a single task from the task sheet header or the board's context menu (Hide from client portal).
Select Preview as client to see the project exactly as its contacts do.
What contacts see
The portal home lists the client's shared projects with status, due date, progress, and the first line of the client update. A project page shows:
- Status, due date, progress, and description, plus the client update.
- Tasks, as a Board (Up next, In progress, Done) or a List with a status filter. Both have a search, and the view and filters stay in the URL. A task with time logged counts as in progress. A blocked task shows On hold.
- Since your last visit — a short AI summary of what changed, in the contact's language. It doesn't appear on a first visit or when nothing changed.
- Files and Hours worked, when those add-ons are on.
Each task shows its subject, type, priority, and dates. Opening it shows its description and the comments visible to the client; contacts can comment and reply there. See Comments, replies and mentions for how visibility works on the team side.
Contacts reach their portals from their personal page or the organization switcher, under Client portals. A contact who belongs to no organization goes straight to their portal.
